2. Data Collection

We collect information to provide and improve our services. This includes:

  • Information you provide directly: account registration (name, email), event creation details, RSVP information, and images/content you upload for QR codes or events.
  • Google user data: If you sign in with Google, we collect your name, email, and profile picture to create and manage your BigQube account. If you connect Google Drive, we request access to create and manage files only in a designated BigQube folder within your Drive.
  • Usage data collected automatically: device type, browser information, IP address, and how you interact with our platform (e.g., features used, pages visited).
  • Cookie data: For essential site functionality, remembering your preferences, and anonymous analytics to improve user experience.

3. Data Usage

Your information is used to:

  • Provide, maintain, and improve BigQube services, including dynamic QR code generation, event management (RSVPs, photo uploads), and Google Drive storage functionality.
  • Personalize your experience and respond to your requests or support needs.
  • Communicate with you about your account, service updates, security alerts, and important notices.
  • Process payments for pay-per-use services securely via our payment processor (PayFast).
  • Analyze usage trends to enhance platform security, performance, and develop new features.
  • Comply with legal obligations, resolve disputes, and enforce our agreements.

Google User Data Limitations:

When you sign in with Google or connect Google Drive, our use of your Google user data is strictly limited to:

  • Authentication and account creation/management
  • Storing and managing QR code images in your Google Drive (only with your explicit permission)
  • We never sell your Google user data to third parties
  • We never use your Google user data for advertising purposes
  • We only retain your Google user data for as long as necessary to provide our services

4. Data Sharing

We do not sell your personal data. We may share your information only in the following limited circumstances:

  • With trusted third-party service providers who help us operate our platform (e.g., payment processors like PayFast, cloud hosting). These providers are bound by confidentiality agreements and are only permitted to use your information to perform services for us.
  • With Google, to facilitate the Google Sign-In and Google Drive™ integration you authorize. We only share the minimum data necessary for these integrations to function.
  • If required by law, such as to comply with a subpoena, or similar legal process.
  • When we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.
  • In connection with a merger, acquisition, or sale of all or a portion of our assets, you will be notified via email and/or a prominent notice on our website of any change in ownership or uses of your personal information.

5. Your Rights & Choices

You have rights regarding your personal data, including:

  • The right to access and receive a copy of your personal data.
  • The right to correct any inaccurate or incomplete data.
  • The right to request the deletion of your personal data, subject to certain legal obligations.
  • The right to object to or restrict certain processing of your data.
  • The right to data portability, allowing you to obtain and reuse your data for your own purposes.
  • The right to withdraw consent at any time for processing based on consent (e.g., disconnecting Google Drive™ integration).

6. Data Security

We implement industry-standard technical and organizational security measures to protect your data from unauthorized access, use, alteration, or disclosure. This includes encryption, access controls, and regular security assessments. For data stored via Google Drive™ integration, Google's security measures also apply.

7. Data Retention

We retain your personal data only as long as necessary for the purposes outlined in this policy or as required by law:

  • Account data: Retained while your account is active and for 30 days after account deletion.
  • QR code and event data: Retained for the duration of your account plus 1 year for backup purposes.
  • Payment records: Retained for 7 years as required by South African tax law.
  • Analytics data: Anonymized and retained for up to 2 years for service improvement.
  • Support communications: Retained for 3 years to maintain service quality.

8. International Data Transfers

BigQube is based in South Africa. If you access our services from outside South Africa, your data may be transferred to and processed in South Africa. We ensure appropriate safeguards are in place for international transfers, including standard contractual clauses and adequacy decisions where applicable. By using our services, you consent to such transfers.

9. Children's Privacy

BigQube is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, please contact us immediately. If we discover we have collected personal information from a child under 13, we will delete such information promptly.

10. Data Breach Notification

In the event of a data breach that poses a risk to your rights and freedoms, we will notify you and relevant authorities within 72 hours of becoming aware of the breach, as required by applicable law. We will provide information about the nature of the breach, potential consequences, and measures taken to address it.

We may update this Privacy Policy periodically to reflect changes in our practices or for other operational, legal, or regulatory reasons. We will notify you of any material changes by posting the new policy on our website and updating the "Last updated" date. We encourage you to review this policy regularly.
